When a property owner sets out to appoint a managing agent for their property they usually have a good idea of the specific services they require. We believe we offer the widest range of services available and these we have annotated below.

Site Visits & Inspections

We carry out routine site inspections, both scheduled and on an as and when needed basis, taking photos as necessary.  We ensure that should we identify any areas needing attention that these are followed up without delay with respective contractors in order that the developments are maintained at all times.

Maintenance and Contractors

As well as arranging the regular maintenance of facilities and systems we plan for major works including internal and external repairs and re-decorations.  We ensure compliance with all Health & Safety legislation and recommend the use of SAFEcontractor registered contractors.  Under our remit we oversee building and major works.  We use a bank of reputable, suitably qualified and experienced contractors who offer a responsive service and we endeavour to ensure we source the best quote against quality of workmanship and service.

 

We also appoint contractors to carry out routine services such as communal cleaning, grounds maintenance, and window cleaning.  All of which are suitably insured and who we believe give an excellent high standard of service.

Emergency Services

Belmont Property Management offer a 24 hour, 365 days a year cover to our clients so that, in the event of an emergency, you have peace of mind that your needs will be met within just a short time and we will take control of the situation. We have a bank of suitable contractors on hand throughout the South West to ensure we deliver on expectation.

Health and Safety Responsibilities

We consider health and safety of our leaseholders and freeholder a priority. Reports are commissioned in respect of our older blocks for the presence of any asbestos and we closely monitor all other health and safety issues.

Fire Systems and Fire Risk Assessments

As part of our services we organise for the fire alarm to be regularly tested and records kept. Our suitably experienced and qualified contractor undertakes the testing of the emergency lighting, twice yearly servicing of the fire alarm system and responds to any failures of the system.

Specialist Services

Whilst our staff have a wealth of experience in property management we also have the added benefit of utilising the services of locally, well known, independent structural surveyors wherever needed. Their service ensures there is no room for misdiagnosis.

Meetings and Communication

We are aware that it is key to communicate with owners and Directors (of the Management Company) at all times.  This can be done by phone or email.  To ensure the smooth running of a scheme we offer attendance, and coordination of the following meetings:

AGMs (see below), as well as EGMs as necessary

Annual General Meetings

Where a Management Company applies, we can organise the Annual General Meeting, issuing relevant papers and Minutes, and on re-sales we can undertake the completion of Statutory records and issuing of Certificates and associated documents. We appreciate that owners often do not live at or near the properties and we always look to offer a mutually convenient day, time and location wherever possible. We can also offer a conference call facility.

Arrears Collection

We have spent time developing an arrears collection procedure which has proven to give great results, enabling full charges to be available to ensure the smooth and comprehensive running of a scheme. We are mindful that the last resort is taking a client to the Small Claims Court and our in-house devised procedures have ensured excellent results.  We pride ourselves on having not yet needed to resort to this route.

Budgets & Accounts

We use a specialist software package for records of income and expenditure and each scheme has its own designated client account and reserve account. At the end of an accounting year records are passed to an independent Accountant for Accounts preparation. These are approved by Directors (where applicable) before being circulated to leaseholders and freeholders. Our Budgets are prepared based on actual expenditure over a 3 quarter period (on existing schemes) to give as true a picture as possible of expenditure levels. With a new development, we base the budget heads on schemes of a similar size and services. Reviews of budget levels are carried out on an ongoing basis. Belmont Property Management offer a meeting in both regards if required.

Ground Rents

If applicable, we would be happy to collect the ground rent on behalf of the freeholder, in accordance with the Commonhold & Leasehold Reform Act 2002, Section 166.

Resales

In the event of a re-sale the acting Solicitors will require a significant amount of information. Such documents including copy of insurance policy, copy Accounts, current Budget, details of the financial position and anticipated expenditure, information on any arrears, disputes and other general scheme related information.

We at Belmont Property Management strongly believe that the complex job of arranging insurance and managing claims should be left to competent professional insurance providers.

Complaints Procedure

As members of ARMA, Belmont Property Management follow their recommendations in respect of complaints and health and safety. For further information, please see our Complaints Procedure. Our aim is to provide a good service in a fair and transparent manner. However we understand that sometimes matters do not always pan out this way and we would endeavour to put things right. We take complaints seriously and are proud to that these are extremely rare and have never proceeded further than an initial enquiry.

• If you consider we have failed to complete a repair in good time.
• If you consider a contractor has not completed a repair in good time.
